Uploading PDFs of corporate policies

A specific process for uploading PDFs of corporate policies to the website and providing access to them using a permanent public link.

Overview

Over 300 PDF pages of Corporate policies are loaded into DAM and posted publicly to the website. The PDFs are also referenced in various trainings. Consequently, when a document is updated or revised, it is important that the hyperlink to the document remains the same so that the links in the trainings do not break.

To address this business need, Stryker.com has a Corporate Policies Uploader. Documents uploaded using this component will allow the author to upload a document to the DAM and reference it using a permanent static hyperlink to the PDF.

Governance

  • Only members of the Stryker Corporate Policy Super User will have access to upload documents to the Corporate Policies in Adobe Assets (DAM).
  • Only the most recent version is maintained in the DAM; older versions will be overwritten.

Upload a new policy PDF

Prerequisites

  • Author is a member of two permissions groups: 1) Stryker Corporate Policy Super User group, 2) Stryker US EN Homepage Updater

1. Click on the AEM logo.

2. Click on the hammer logo (A)  and select Stryker.com (B) > Corporate policy uploader (C).

3. The Corporate Policy Uploader will appear. Enter the appropriate details and click "Submit":

  • Select "Create new corporate policy"
  • Language: Select the appropriate language for the policy
  • Enter an ID: It is not possible to rename the ID after it has been created. IDs can only contain alpha-numeric, dashes, underscores and dots, and start with alpha-numerical characters.
  • Enter a title: This is the name that will appear in the dropdown menu if the document needs to be updated in the future
  • Click and drag the PDF to upload.

Create a link to a policy

1. Click on the AEM logo and select "Sites".  

2. Navigate to the page that will display the link to the policy document and select the page by clicking the gold icon next to it so a checkmark appears. Select "Edit" from the toolbar. 

3. Click the "Drag components here" area where the list should appear and select the "+" icon.

4.  Select the "Curated link list" component from the list.

5. Select the "Internal Links" tab and click the "Add field" button.

6. Enter the following details and click the check mark to save:

  • Title: The link text as you want it to appear
  • Link type: Asset link
  • Asset link: Navigate to document uploaded in the previous section by selecting "Stryker / Corporate / Policies / (Language) / (PDF)"

7. Repeat the upload process and steps 5 and 6 for each policy to be added to the page. Click the check mark for the "Curated Link List" component to save the changes.

8. Select "View as published" to verify the link(s) work. Hovering over the link will reveal the permanent URL. Use this URL to reference the document in other 3rd party sites.

Update an existing PDF

1. Click on the AEM logo.

2. Click on the hammer logo (A) and select Stryker.com (B) > Corporate policy uploader (C).

3. The Corporate Policy Uploader will appear. Enter the appropriate details and click "Submit".

  • Select "Update an existing corporate policy"
  • Select the language and policy that will be updated from the drop down menus
  • The title will automatically populate
  • Click and drag the new PDF to upload

The policy will be updated without changing the active URL.
